Automation | Automations can now start on a scheduled date
Automations can now also start based on a scheduled date, instead of only in response to a change. A new "Scheduling" tab has been added when setting up an automation, where you choose between "Immediately" (the existing behavior, unchanged) and "Scheduled". With "Scheduled" you specify how many days before or after a date field — for example the start date of a course group — the automation should start, and at what time. The conditions and actions of the automation work in exactly the same way as before; only the starting moment is now configurable.
This allows you to have communications such as reminders, follow-up actions, and expiration notices sent fully automatically at the right time, without first requiring a manual change to trigger them.
Integrations | aNewSpring integration improved in several respects
The integration between CRM and aNewSpring has been extended with additional options*, aimed at more accurate and flexible handling of e-learning enrollments:
- Participants are automatically linked to the correct profile in aNewSpring as soon as they enroll in a linked course; when withdrawing or canceling, the link is also automatically removed. A one-time action can additionally link existing enrollments retroactively. (optional)
- When creating a group in aNewSpring, you can now choose an e-learning template yourself from a list of available templates, instead of it being fixed based on the course. (optional)
- For courses where participants enroll well in advance, it can be configured so that the e-learning enrollment is only sent to aNewSpring a set number of days before the start date, instead of immediately upon enrollment. (optional)
- You can designate one or more statuses for which no registration with aNewSpring takes place yet, so that participants are only registered once their enrollment is definitively confirmed. (optional)
- On the E-learning tab of an enrollment, you can individually exclude a participant from registration with aNewSpring, regardless of the enrollment status — for example when someone has already completed the e-learning previously.
This makes the integration with aNewSpring better aligned with real-world practice: participants are registered at the right time, e-learning templates can be flexibly reused, and exceptions can be configured per situation without manual work afterwards.

Courses | Day of the week in Dutch on the attendance list
When printing an attendance list, the day of the week — for example "Monday" — is now shown correctly in Dutch, also when the document is generated via the portal.
As a result, attendance lists are immediately usable, without having to manually correct the day of the week.
Courses | Region and available days for course locations
For a course location you can now record a region and indicate on which weekdays the location is available.
This makes it easier to quickly find a suitable location based on region and availability when planning courses.
Courses | Clearer dialog for a course's default program
The dialog in which you build the default program of a course has been made clearer, and its layout now matches the planning at the course group level. You can also create a role without immediately having to link an employee to it.
This makes building a default program faster and more consistent with what you're already familiar with.
Courses | First name and last name as separate columns for participants
On the Participants tab of a course group, First Name and Last Name are now also available as separate columns, alongside the full name.
This gives you faster and clearer insight into the participant list.
Courses | An organization's certificates in a single overview
A tab has been added to an organization's card that shows all active certificates of that organization's employees in a single overview.
This lets you see immediately which certificates are active within an organization, without having to open every employee individually.
Financial | Showing source code and description when selecting authorizations
In the screen where you select authorizations for the collection export, you can now also show the source code and its corresponding description in the list.
This lets you recognize and verify authorizations more quickly, without having to navigate separately to the pledges.
Financial | Notification for reading bank files stays visible longer
The notification that appears while a bank file is being processed in the background now stays on screen longer, instead of disappearing after a few seconds.
This gives you more time to see that processing has started, without having to dismiss the notification before you were able to read it.
Collections | Automatically visible whether a collection area has an order or a remittance
For each collection area, it is now automatically tracked whether an order and a remittance have been submitted for the current collection year. This information is shown as two columns in the list of collection areas, can be used in the filters, the advanced filter, and export files, and is also shown on the collection area's own card. At the start of a new collection year, both values are automatically reset.
This lets you see, without any extra steps, which collection areas are still missing an order or a remittance, and filter and report on that specifically.
Financial | Amount and reason for reversal visible for memberships
Two columns have been added to the Buckaroo tab of a membership: the amount — shown as a negative amount in the case of a reversal — and the reason for the reversal. This data is recorded automatically as soon as Buckaroo provides feedback, so it doesn't take any extra time when opening the tab.
This lets employees see at a glance whether a payment was actually received or was in fact reversed, and for what reason. This prevents a member from being incorrectly told that a payment was successful.

Courses | Cancellation reason incorrectly remained after reactivation
When a program component of an enrollment was reverted from an inactive status (for example "Interruption") back to an active status such as "Definitive", the previously entered cancellation reason remained in place. This has been fixed: the cancellation reason is now automatically cleared as soon as the component becomes active again.
Courses | End date of a planning item was not updated
When changing the end time of a planning item, only the time was adjusted and not the date, which could cause a planning item to end before its start date. This has been fixed: the date is now correctly updated when the end time changes.
Financial | Contract moments did not take completed enrollments into account
When a participant switched to a different course group within the same contract, the attendance hours of the completed (old) enrollment did not count toward determining whether an invoicing moment based on attendance hours had been reached, which sometimes caused invoicing to start too late. This has been fixed: the hours of completed enrollments now do count, while enrollments that were actually canceled are still excluded.
Courses | Filter on Course Appointments for an organization did not work
The filter on an organization's Course Appointments tab, for students linked to a contact person, was no longer working correctly. This has been fixed.
Courses | Planning items did not always get the correct date after changing the group schedule
When changing the date of a course group's schedule, the associated planning items were not always updated with the correct date. This has been fixed.
Courses | Enrollment could not be deleted after deleting program items
When all program items of an enrollment had been deleted, the enrollment itself still could not be deleted if it was not linked to a group with "contract" as its invoicing method. This has been fixed: in that situation the program item is now actually deleted instead of only hidden.
Automation | Location of a planning line now usable as a merge field
In an automation on a planning line, the location of the program component could not be used in a template's merge field, for example for an email where the location is precisely the reason for sending it. This has been fixed: the planning line's location is now available as a merge field.
Courses | Contact person with linked students could accidentally be deleted
A contact person who was linked as a student to an organization could be deleted without that link being cleaned up, which could later cause problems when creating certificates. This has been fixed: when deleting a contact person with linked students, this is now flagged and prevented.
Security | Username with different capitalization was not recognized as a duplicate
When changing a username, no check was made for existing usernames that only differed in upper/lower case, which in some cases meant a user could no longer log in or reset a password. This has been fixed: when changing a username, this type of duplicate is now also checked for.
Financial | Space in the invoice email address could block the invoicing link
An accidental space in the email address for invoices could cause the processing of invoices to the accounting integration to come to a complete halt, without any error message being shown. Email addresses are now automatically stripped of extra spaces, so this can no longer happen.
Campaigns | Donations list remained empty on a second visit from a source code
When navigating a second time from a campaign or source code to the corresponding donations list, this list remained empty instead of showing the filtered results. This has been fixed.
Financial | Resent invoice to accounting was not processed immediately
When a failed link between an invoice and the accounting system was resubmitted via "Resend", it remained in the queue until another event triggered the queue to be processed, instead of being picked up right away. This has been fixed: a resubmitted link is now processed immediately.
Financial | Finalizing invoices in batch failed silently in the background
When finalizing multiple draft invoices at once via the invoice list, a message indicated that processing would happen in the background, but the invoices remained unnoticed in "Draft" status. This has been fixed: finalizing invoices in batch now works correctly again.
Document management | Template was overwritten when uploading a file
When creating correspondence, it could happen that a previously chosen template was overwritten after a file (rtf, docx, or pdf) was uploaded, causing the wrong file or no image to be shown. This has been fixed.
Document management | Documents from the Outlook add-in no longer visible on the Documents tab
Documents that were archived via the Outlook add-in were no longer shown on the Documents tab of the corresponding relation. This has been fixed.
Document management | Publishing a document as PDF produced an error
When publishing a document with PDF as the output format, an error could occur, preventing the document from being published. This has been fixed.
Integrations | Welcome email for new aNewSpring users was not sent
The setting to have new users automatically receive a welcome email from aNewSpring did not work: this setting was not passed along when the user was created. This has been fixed.
System | Integration speed improved for environments with many free fields
Integrations with other systems could become noticeably slower as an environment contained more free fields, particularly when an integration made several requests in succession. This has been investigated and improved, so that the number of free fields has less impact on integration speed.
System | Background processes made more robust for servers with multiple customer environments
Some background processes — including certificate generation and document conversion — could in specific situations detect the wrong environment, or no environment at all, on servers with multiple customer environments. This has been fixed, so these processes continue to work correctly in those situations as well.
Security | Password reset can now also be done using the username
On "Forgot password" you can now also enter your username instead of being required to enter an email address; the corresponding email address is then looked up automatically. In addition, the email template for this email is now configurable.
